What is Intake?

Intake is a web-based portal that helps professional firms collect documents, answers, and signatures from clients and deliver files back through one branded request. It is aimed at accounting, legal, advisory, and compliance teams, with sector guides also covering real estate, recruitment, insurance, healthcare, education, and agencies. Each request keeps its uploads, comments, reminders, signatures, and activity history together, so the team works from one record instead of email threads.

Clients do not need an account. They open a secure link, see what is still missing, upload files, sign, and can return to the same link later because the portal autosaves. The product is operated by Greeff Digital Holdings (PTY) Ltd and ships with 120 built-in templates, plus guides and comparison pages that are public without signing up.

How does Intake work?

The workflow has five stages: build, send, portal, review, and record. A firm builds a request from a template or from scratch, choosing among 15+ field types such as file uploads, text, yes/no questions, dates, and tables. Conditional fields show clients only what applies to them, and the sender sets a due date, reminder policy, and access rules such as password, OTP, or end-to-end encryption.

After the client submits, the dashboard follow-up queue shows overdue requests, due-soon work, submitted items, and recent activity. Reviewers approve individual items or request revisions, with notes pinned to the item so the rest of the request keeps moving. On close, the request can produce a completion summary, signature certificates, and a downloadable close-out pack.

Key features of Intake

Security is central to the pitch. Files can be encrypted in the browser with AES-GCM before they leave the client device, stored as ciphertext with a wrapped key envelope, and decrypted locally during authorized review. Portal links are signed per request, and one-time codes are hashed, expire in minutes, and are marked used once verified. Intake also records who created, reviewed, or downloaded items, per user.

Follow-up runs on reminder policies stored on the request: pre-due reminders, overdue digests, and a cap after a set number of reminders with an unresponsive state. Other capabilities include recurring schedules, saved client groups, delivery items, native signatures, reporting with CSV export, and Reeve, an AI layer for in-app support, template guidance, submission review, and completion summaries, depending on plan.
